Implementing Best-in-Class Fleet Management System to Enhance Operations
Implementing Best-in-Class Fleet Management System to Enhance Operations

Percipio led the entire lifecycle project to select and implement a new fleet management system to improve operations. Our work included developing and refining the business case, leading a robust system selection process, development and testing of 10 interfaces and final training and deployment. We conducted a hands-on inventory of all fleet assets (more than 1,500) to ensure quality data for baseline input. Our team managed the process and the eight-week roll-out in all 15 locations, which included equipping garages with mobile work stations and Wi-Fi, training and deployment to all end users, and time onsite at each location to troubleshoot and ensure adoption. We also transformed inventory management with the integration of a new automated interface for ordering and tracking parts.

A year after the implementation, our client was ranked #11 in the Top 100 Fleets of the Americas, which they attribute to the new processes and systems that are now in place. We were successful in streamlining their tech systems, which provide accurate and meaningful information to both mechanics and management. They are able to rationalize the size of their fleet, improve accountability to end users, and make better decisions about operations and asset acquisitions. They enhanced the consistency of maintenance practices across the organization, and the system paid for itself in less than three years.

With a unique $85 million fleet of trucks and heavy equipment, a large federal electric entity in the Northwest needed a new fleet management system that would allow them to easily understand the use, condition, maintenance and cost of these mobile assets. A new system would assist management with planning decisions related to the fleet and support consistent practices across 15 locations.
Challenges
  • Changing the way the entire fleet organization did its daily work across four states and 15 locations, including the work environment and technology
  • Required a massive training and deployment effort to make the new technology useful to end users/mechanics with their input and buy-in
  • Integrating information from 10 separate source systems to improve organization’s use of the system
Services
  • Technology Integration
  • Operations Improvement
  • Risk & Controls

“Could not say enough positives about the Percipio team that has been brought on to run this project. The model of a third-party contractor coming in and running our projects with a firm fixed price and a strongly stated goal should be the model in the future…the tenacity and follow through of the project management team cannot go unstated as they really are clearing the hurdles to get this project completed.“
